Taxis stop at the gate. How to get guests and their suitcases to your door

Taxis can't drive into most of Rhodes Old Town, and drivers may not know a small guesthouse by name. Guests get dropped at the wrong entrance and end up pulling suitcases over cobblestones and up narrow alleys, looking for you.

This guide helps you write an arrival message that prevents this: which gate to ask the driver for, and where you will meet them. It also covers honest notes about stairs and street noise, review replies in your own voice, and listing copy that says what makes your place different. ChatGPT can draft it in each guest's language.

What arriving guests actually run into

The main problem is the arrival itself. Taxis can't enter most of the Old Town, drivers may not know small guesthouses, and guests walk the rest with their luggage. Steep internal staircases are hard for guests with limited mobility, and an aggregator's summary of reviews for one central hotel mentions noise from nightlife and the street. The clearest firsthand account we found is from 2012, so treat it as an example, not a trend.

Name the nearest gate in your message, for example St John's Gate or Akantias Gate, and add a map pin, a photo of the route and the walking time from the drop off point. Offer to meet guests at the gate and help with their bags. Give a typical taxi fare from the airport and port, or arrange a transfer at a fixed price.

Why guest communication on Rhodes needs its own approach

Rhodes doesn't have one kind of guest. In spring and autumn you'll host many travellers from Germany, Scandinavia and the UK, often there for walking, history and quieter beaches. Summer brings more families and couples, Greek and international, heading for the sea, Lindos and the Old Town. Each group asks different questions, and each would rather read the answer in its own language.

Arrivals vary too. Some guests land at Diagoras airport. Others come into Rhodes Town port by ferry from Piraeus or from other Dodecanese islands. Late flights and weather-affected sailings mean check-in rarely happens exactly when you planned.

The questions you answer every week

  • Getting here from the airport or the port: taxi, bus or rental car?
  • Parking, especially near the Old Town, where traffic inside the walls is restricted.
  • Do we need a car for Lindos, the Valley of the Butterflies or Prasonisi?
  • Which beaches are more sheltered from the wind, the east coast or the west?
  • Breakfast times, luggage storage after checkout, late arrivals.

A pre-arrival message built for Rhodes

A good pre-arrival message answers questions before guests ask them. Here's an example, with your own details in brackets:

ExampleHighlighted fields are yours to fill in
Hi [Name], we're looking forward to welcoming you to [Guesthouse name] on [date]! A few practical tips for Rhodes: from the airport you can take a taxi, or let us know if you'd like us to arrange a transfer. If you're arriving by ferry, please message us when you reach the port, as sailing times often change. If you're renting a car, you can park at [location]. Check-in is from [time]. If you arrive late, you'll find your key [where]. Just tell us roughly when you'll get here and we'll be ready for you. Safe travels, [Your name]

With a prompt like Adapt this message for a German family with two children arriving by evening ferry, and reply in German, you'll have a natural-sounding version in seconds. Always read it through before you send it.

Reviews: reply in your own voice

Some complaints come up again and again on Rhodes: noise on summer nights, tricky parking, lots of steps in older buildings. A calm, specific reply shows the next guest that you care.

Example reply
Thank you so much for your kind words about breakfast and the location. You're right about parking: it can be difficult near the Old Town, especially in August. That's why we now send every guest the spots where it's usually easiest to find a space before they arrive. We'd love to welcome you back!

Only promise what you actually do. AI helps with the wording, not the facts.

Your listing: say what makes you different

On Booking.com and Airbnb, many Rhodes listings sound alike: close to the sea, quiet, clean. Guests want specifics. Can they walk to the Old Town gates? Are you in a village near Lindos, with views and peace? Are you on the east coast, where the water is often calmer for children? A structured framework helps you say this clearly and honestly. It also gives the AI what it needs to write copy that actually sounds like your place.

How to set it up in an afternoon

  • Open a free ChatGPT or Claude account.
  • Write one page of facts about your guesthouse: times, parking, breakfast, and directions from the airport and the port.
  • Ask the AI to answer only from those facts.
  • Save the messages you send most often as quick replies in WhatsApp Business, Booking.com and Airbnb.
