This guide shows you how to say it early, in the listing and in the message you send before arrival. It also covers charges paid on arrival, replies to reviews about roads and distance, and how to give every guest the same facts in their own language, with ChatGPT writing the first draft.
What guests and hosts actually report about getting around
The most common issue is distance. One Rhodes villa listing we checked says shops, bars and restaurants are not within walking distance and recommends car hire, and a guest there described the beach as a short drive away, not a walk. Guests also meet charges at the door, such as an environmental tax per night and a refundable breakage deposit. Separately, news coverage reports that Law 5170/2025 has been enforced since 1 October 2025, and listings that don't comply are delisted and lose their AMA number.
- «The beach was a 5 minute drive away and is beautiful and secluded» Clickstay guest review
- «Environmental Tax to be paid upon arrival: 10.00€ / per night» Clickstay listing terms
Write that guests will need a car near the top of your listing and again in the booking confirmation, with drive times to the nearest supermarket and beach. List every charge payable on arrival with the amount, how guests pay and when the deposit comes back. If you can, offer car hire delivered to the villa and say whether there is parking on site.
Why guest communication for a Rhodes villa is its own job
Rhodes is a big island with a lot of variety. You have the medieval Old Town, a UNESCO World Heritage Site, and Lindos with its acropolis. There are the beaches of the east coast, the breezier west side, and Prasonisi at the southern tip for kitesurfers. Your guests don’t know any of this yet, so they ask you.
These are the questions every villa owner here hears season after season:
- Arrival: How do we get from Diagoras airport or Rhodes Town port to the villa? Is there a transfer?
- Car: Do we need one? Where do we park? Is the road to the villa narrow?
- Late arrival: Our flight lands late. How do we get the keys?
- Groceries: Where is the nearest supermarket, and when does it close?
- House and pool: When does the pool technician come? When is cleaning? How do the hot water and the barbecue work?
- Beaches: It’s windy today. Where should we go?
The guest mix also shifts through the year. In high summer you mostly host families and groups of friends. Spring and autumn tend to bring couples, walkers and people looking for quiet. The tone changes with each group, but the need for clear and timely answers stays the same.
1. A pre-arrival message that answers questions before they’re asked
The best message is the one that makes the next ten unnecessary. Here is a template to fill in with your own details:
Hi Name, we’re looking forward to welcoming you to Villa on date! A few things to make your arrival easy:
By plane: Rhodes airport is on the northwest coast, about time from the villa. Transfer or rental car details.
By ferry: boats dock at the port in Rhodes Town. How to reach us from there.
The last stretch: the road up to the villa is narrow, so please drive slowly. Parking is location. Map pin: link.
Check-in: from time. Landing late? No problem: lockbox / self check-in instructions.
Groceries: the nearest supermarket is name.
Just reply with your arrival time and we’ll take care of the rest.
You enter your details once. After that, AI can adapt the message for a family with toddlers or a couple arriving in October.
2. One set of facts, five languages
On Rhodes you might host German, Italian and French guests in the same week. Machine translation often sounds stiff. A better approach is to write your villa facts once (times, house rules, directions) and ask ChatGPT or Claude for a natural version in each language. The Template Pack already includes 6 core guest messages in English, Greek, German, French and Italian, plus a dedicated prompt for natural translation.
3. Replying to reviews about wind, roads and distance
Many mixed villa reviews are about the location rather than the house: “steep road”, “far from the beach”, “very windy”. A calm, friendly reply also helps the next guest know what to expect:
Thank you so much for your kind words about the pool and the view. You’re right that the road up to the villa is narrow, which is common in Rhodes villages. That’s why we now mention it clearly before arrival, along with parking instructions. We’d love to welcome you back!
The pack includes templates for positive, mixed and negative reviews. It also includes 5 rules for answering reviews without sounding defensive.
4. Listing copy that sells a villa, not a room
Villa guests on Booking.com and Airbnb are looking for privacy, space, a pool and an honest picture of the location. A 7-part framework helps you describe the view and the outdoor spaces, say whether a car is needed, and mention nearby beaches and sights. Honest listings lead to fewer surprises, and fewer surprises lead to better reviews.
5. Set it up in an afternoon
You don’t need subscriptions or technical skills. A one-page guide shows you how to use the free versions of ChatGPT or Claude. It also explains how to save your templates as quick replies in WhatsApp Business, Booking.com and Airbnb.
FAQ
Do I need a paid ChatGPT plan?
No. The setup guide is written for the free versions of ChatGPT and Claude.
Are the templates specific to Rhodes?
They are built for small Greek properties. You add the details about Rhodes and your villa, and the prompts help AI answer only from your facts.
Which languages are included?
The 6 guest messages come in English, Greek, German, French and Italian, which makes 30 texts in total.
I have two villas. Is one pack enough?
The licence covers one property. A second villa needs a second licence.
