Telling villa guests in Crete about summer water cuts before they book

In parts of Crete, especially east of Chania and in inland and eastern villages, the mains water can stop for days in summer. A villa with a pool and a big group uses a lot of it. Guests run short, someone asks them to ration, and then comes the argument about who pays for the tanker.

This guide helps you explain your water setup before anyone books and put the tanker rule in writing. It also covers the messages you send when the tap does run dry, written by hand or with ChatGPT, always from your own facts.

What guests say when the water runs short

The main complaint is water. When the mains stops, guests feel the host or agency is slow to send a refill, and often nobody said in advance who pays for it. Two smaller problems turn up in the same reviews: repairs that drag on when the owner is far away, and extras like pool towels that only the housekeeper mentions.

  • «Normally competent, but far less accommodating in the light of the serious water shortages East of Chania in particular.» Trustpilot review
  • «they will go out of their way to avoid providing you with a water refill» Trustpilot review
  • «Towels and linen are regularly replaced by the excellent housekeeper (though she charges for pool towels, so bring your own).» Trustpilot review

Before booking, tell guests plainly how the water works: the villa is on the village mains with a backup tank, the mains can stop in summer, and this is who pays for a tanker if it does. Write that in the house rules as well. Then give guests the number of a local caretaker who can reach the villa within hours, not only the owner's number.

Why a Crete villa inbox is different

Crete is not an island you see in an afternoon. It is big and mountainous, full of villages, and you cover a lot of road to get anywhere. That shapes what your guests ask:

  • Arrivals: some guests fly into Heraklion and others into Chania. Some take the ferry from Piraeus and reach port early in the morning, hours before check-in.
  • Location: many villas sit in villages or on hillsides, reached by narrow lanes or a gravel track for the last stretch. The address often doesn't show up correctly on map apps.
  • Getting around: in most areas a rental car is close to essential. Guests want to know about parking, road conditions and driving times.
  • Seasons: summer brings mostly families and groups, who ask about the pool, child safety and beaches. Spring and autumn bring more couples and hikers, who ask about gorges, tavernas and the weather.
  • Languages: in a single week you might write to German, French, Italian and Greek guests.

Example: a pre-arrival message tailored to Crete

A good pre-arrival message answers questions before guests think to ask them. Fill in the brackets, then ask AI to translate it into your guest's language:

ExampleHighlighted fields are yours to fill in

Hi [Name], we're looking forward to welcoming you to Villa [Name] on [date]! A few things to make your arrival easy:

  • From [Heraklion/Chania airport or port], the drive to the villa takes about [X] minutes.
  • We recommend a rental car. The last [X] km is a [narrow village road / gravel track], so please take it slowly.
  • For navigation, please use this map pin: [link]. The street address often doesn't work on map apps.
  • Check-in is from [time]: [key box / we'll meet you there].
  • The nearest supermarket is [name], open until [time].

Just reply with your flight or ferry arrival time so we can be ready. Safe travels!

If guests are on an early-morning ferry, add a line about where they can leave their luggage or get a coffee before check-in.

Answer the weekly questions from your own facts

The biggest mistake with AI is letting it guess. Write one short document with your villa's facts: parking, pool hours, air conditioning, Wi-Fi, nearby beaches and tavernas, distance to the village, and ideas for windy days. Then give AI an instruction like this:

Example reply

Answer the guest's message using ONLY the facts below. If something isn't covered, say I'll confirm personally. Keep the tone warm and short, and write in the guest's language.

That way it will never promise a sandy beach within walking distance when the nearest one is a ten-minute drive.

Reviews and listings: honesty that prevents complaints

Replying to reviews

A review that says 'beautiful villa, but the road was scary' needs a calm reply, not a defensive one. Thank the guest, acknowledge the issue and explain what you changed, such as clearer driving directions. AI gives you a first draft in seconds, in German or Italian if needed, and you refine it.

Listing copy

On Booking.com and Airbnb, a clearer listing means fewer disappointed guests. Say plainly that a car is needed, describe the road, and give the distances to the beach and the village. Then highlight what makes your villa special: the view, the quiet, the private pool, the Cretan village next door.
